This Data Privacy Policy (“Policy”) applies to the EY Global Alumni Portal (“Alumni Portal”).
In this Policy we describe the practices we follow to respect the privacy of all users of the Alumni Portal.
If you register to use the Alumni Portal, you have the option to participate in the various blogs, forums, wikis and other social platforms which we make available to you on the Portal. The main aim of these platforms is to facilitate and allow you to share content. However, EY cannot be held responsible if you share your personal data on the Alumni Portal and it is subsequently used, misused or otherwise appropriated by another user, including by sending you unsolicited messages.
“EY” refers to one or more of the member firms of Ernst & Young Global Limited (“EYG”), each of which is a separate legal entity and can act as a data controller in its own right.
The Alumni Portal is administered on EYs behalf by InSala and hosted in InSala’s data centre in the United States of America.
The Alumni Portal collects and processes personal data relating to both former (Alumni) and current EY Partners and staff and other invited individuals as follows:
Information displayed in the Alumni Portal search engine:
When you first enter the Alumni Portal to manage your registration, you will be able to view a limited amount of personal data about yourself, as per the list below. This information is required as part of the authentication and verification process for the Alumni Portal, ensuring only those invited to be part of the Alumni community have access.
Pre-populated profiles:
If you were an active user of any previous EY Alumni system, you will already have a profile populated for you within the Alumni Portal. In addition to the limited information mentioned above which is available in the search engine, you are able to access a more detailed profile depending on the extent of information you have volunteered previously. However, as with all new users of the Alumni Portal, you can decide how much or how little information you would like to share with the wider community by following the sections outlined below.
New profiles:
If you are a new user of the Alumni Portal, once registered you will have the option to create a more detailed profile and decide how much information you would like to share with the wider user community by following the sections outlined below.
Searching for others:
Once you have completed the registration process you will be able to search for others users within the Alumni Portal. The limited list of information mentioned above is the minimum personal data which will be displayed about them, and you, in the search engine of the Alumni Portal (unless you choose to make your additional information public as set out below).
Making sections of your profile invisible to other users:
Once registered, you can decide whether or not to make your personal data available to other users of the Alumni Portal and you can make sections of your profile invisible if you choose to do so. This will remove those sections of your profile from others’ view. For example, you have the option to remove or not display items in your education/work experience and contact information sections of your profile.
Completely hiding your profile from other users:
As a registered user you have the option to hide your complete profile from view of other users.
Opting out or deleting your profile:
As mentioned above, even if you choose to hide your complete profile from others, limited information about you is still available via the search engine. However, you do of course have the option to “opt-out” from the Alumni Portal completely and thereby remove all of your personal data from the Alumni Portal. In order to do this you will need to contact your EY Alumni Manager.
How the Alumni Portal uses your email address:
An email address is key to allowing access to the Alumni Portal. It is one of the key data fields that allows EY to identify you and verify your registration.
The Alumni Portal does not have ‘chat’ functionality built in. If you contact another user via the Alumni Portal, that person will have access to your email address in order to continue the ‘conversation’ with you, regardless of whether you have made your email address visible to others in your profile.
Recommend a friend:
You can also recommend a ‘friend’ to the Alumni Portal by sending EY certain of their information. However, it is your responsibility to ensure you have the persons’ permission to pass their details on to EY.
The functionality of the Alumni Portal includes the following:
We do not transfer any of your personal data obtained through the Alumni Portal to any unaffiliated third parties, except in the following circumstances:
Sensitive personal data reveals your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data, data concerning health or data concerning sex life or sexual orientation. EY does not intentionally collect any sensitive personal data from you via the Alumni Portal and it is not the intention of the Alumni Portal to process such data unless we are legally required to do so.
Each user of the Alumni Portal takes responsibility for population of their personal profile and any data they want to add into the Portal and share with the wider community. EY works to protect the confidentiality and security of such information it obtains in the course of business. Access to such information is limited and policies and procedures are in place designed to safeguard the information from loss, misuse and improper disclosure.
EY has a comprehensive global privacy compliance program that includes EU-approved Binding Corporate Rules as well as certification to the EU-US Privacy Shield and the Swiss-US Privacy Shield Frameworks administered by the U.S. Department of Commerce. Transfers of personal data permitted under this Privacy Policy include the transfer of data from one jurisdiction to another, including transfers to and from the United States of America. Our vendor, InSala, adheres to the EU-US Privacy Shield Framework with respect to transfers of personal data from the European Union.
EY will only disclose your personal data to third parties that have agreed in writing to provide an adequate level of privacy protection. Your personal data will be disclosed for the following reasons:
Note: EY does not collect or compile personal data or information obtained by the Alumni Portal for dissemination or sale to outside parties for consumer marketing purposes or host mailings on behalf of third parties.
Upon request we will inform you what personal data we are holding about you. Should you require your information be accessed, updated, amended, rectified or deleted from the Alumni Portal or if you need a readily portable copy of your personal data, or wish to have your personal profile deleted, please contact us outlining your requirements. As a registered user of the Alumni Portal, you will always have the ability to access your personal profile and correct and update your own details.
User profiles which have no activity will be removed from the Alumni Portal in compliance with local laws and your information will be deleted from the Portal at that time. Where this occurs, you will be required to re-register if you wish to access and use the Alumni Portal.
A "cookie" is technology that allows the Alumni Portal to store tokens of information (an 'identifier') in your browser while you are using the Portal. Cookies serve to help us track a user’s preferences when they use the Portal. Cookies are also used to provide assurance that access to certain proprietary and third-party content is limited to only authorized users of the Alumni Portal.
By using the Alumni Portal and clicking on the button at the end of this policy, you agree that we can place cookies in your browser. If you do not want to receive a cookie from the Alumni Portal, you have the option of setting your browser to notify you when you receive a cookie, so that you determine whether to accept it or not. However, please be aware that if you do turn off 'cookies' in your browser, you are not able to fully experience some of the features of the Alumni Portal and it is possible that your access is denied to protected content items.
With or without cookies, the Alumni Portal keeps track of usage data, such as the source addresses that page requests come from, IP addresses or domain names, the dates and times of the page requests, the referring web sites, and other parameters in the URLs. This information is stored in log files and is not linked to other client information. We use this data to better understand site usage in the aggregate and for aggregated statistical reporting. We also use this information to track your individual usage, and to report on such usage to EY personnel.
Please be aware that the Alumni Portal contains links to other third party sites that are not controlled by EY and therefore not governed by this Privacy Policy. Such links could appear in documents posted by other users of the Alumni Portal. On these sites, third parties and others also collect information about you. We make no representations or warranties regarding how user data is stored or used on third-party sites. We recommend that you review the privacy policy of each third-party site that you visit from the Alumni Portal to learn more about why and how they collect and use your information.
The Alumni Portal is not intended for use by children. We understand the importance of protecting children’s information, especially in an online environment, and we do not knowingly collect or maintain information about children in the Alumni Portal.
Please contact us if you desire feedback or a response to a query about the Alumni Portal. We use the contact information you provide to us in order to respond to your query or request for feedback and to contact you regarding service updates or specific support questions. We also have the option to contact you for additional opportunities to provide feedback on our products and services. We will access the information that we need in order to fulfil your requests or reply to your inquiries. We retain records about customer service and technical service requests that you make. We do not use these records for purposes other than to service your request, maintain appropriate business records, and assess and improve our services.
In some cases, we employ or work with consultants, temporary workers, software developers, or outsourcers to complete a business process or provide a service (e.g., offering online advice, sending e-mail messages on our behalf) and this includes InSala, our vendor providing the Alumni Portal to you on our behalf. When we employ these agents or offer their services to our clients or third parties, we need to provide them with information about you. These agents or developers are prohibited through their contracts with us from using that information or disclosing it for purposes other than to offer or complete the service that we are outsourcing. Our general principle is that the Alumni Portal will not transfer personal data to a third party acting as an agent, unless the party is subject to local regulations that hold them to an equivalent standard of personal data compliance as that required by the Global EY network, or enters into a written agreement with EY Global Services Ltd that imposes the same level of protection of personal data. However you will be notified via a change to this policy should this happen. Please see section 17 of this Privacy Policy below for more details.
We protect information as a core aspect of our business. We recognize industry standards and employ security safeguards to protect information from unauthorized access and misuse. Furthermore, we take necessary steps so that the information used to process requests you submit to us is accurate and current.
As you send information to the Alumni Portal over the Internet, we maintain physical, electronic and procedural safeguards to protect the information, (e.g., cryptographically protected communications services such as Secure Sockets Layer encryption for Internet communications).
Our security measures are intended to comply with applicable laws and industry standards; however, you should be aware that the Internet is an unsecure environment and communications to and from the Alumni Portal may be observed by a third party while in transit. EY cannot be responsible for security of information on or transmitted via the Internet.

An EY Privacy Officer will investigate your complaint and provide information about how it will be handled.
If you are not satisfied with how EY resolved your complaint, you have the right to complain to your country’s data protection authority. You can also refer the matter to a court of competent jurisdiction.

You must ensure that You have appropriate security measures in place to ensure that your Login Details are kept confidential and prevent any unauthorised individual accessing the Alumni Portal through the use of Your Login Details.
4.4 You shall not leave any Alumni Portal session unattended and shall be responsible for all use that occurs under Your Login Details, regardless of whether any such use is by You or by authorised or unauthorised third parties.
4.5 You agree to:
4.5.1 immediately notify Us of any unauthorised use of Your Login Details or of any other breach of security; and
4.5.2 ensure that You exit from your account at the end of each session.
4.6 We cannot and will not be liable for any loss, damage or other liability arising from Your failure to comply with this Clause 4 or from any unauthorised access to or use of Your account.

8.1 On the Alumni Portal You may (through the Services):
You understand that all information, data, text, software, music, sound, photographs, graphics, video, messages or other materials ("Content"), whether publicly posted or privately transmitted, are the sole responsibility of the person from whom such Content originated. This means that You, and not Us, are entirely responsible for all Content that you upload, post, email or otherwise transmit via the Alumni Portal or the Services.
10.Material Provided to Us or Posted on the Website
10.1 We do not control all of the Content posted via the Website and Services and, as such, do not guarantee the accuracy, integrity or quality of such Content. You understand that by using the Website and Services, you may be exposed to Content that is offensive, indecent or objectionable. Under no circumstances will We be liable in any way for any Content, including for any errors or omissions in any Content, or for any loss or damage of any kind incurred as a result of the use of any Content posted, emailed or otherwise transmitted via the Website or Services.
10.2 You acknowledge that We do not pre-screen Content, but that We shall have the right (but not the obligation) in Our sole discretion to refuse or move any Content that is available via the Website or Services. 10.5 You understand and agree that the technical processing and transmission of the Services, including your Content, may involve:
10.5.1 transmissions over various networks; and
10.5.2 changes to conform and adapt to technical requirements of connecting networks or devices.
10.6 You acknowledge that We may establish general practices and limits concerning use of the Website or Services, including:
10.6.1 the maximum number of days that email messages, message board postings or other uploaded Content will be retained by the Services;
10.6.2 the maximum disk space that will be allotted on Our servers on your behalf; and

13.1 You may post a job vacancy on the Alumni Portal, which shall be subject to obtaining Our prior written consent and approval. You shall ensure that any role posted by You complies with all laws and regulations in any applicable jurisdiction and that you have any necessary permission to do so. We shall act in Our absolute discretion in deciding whether or not to approve a job vacancy as submitted by You. Our decision is final.
13.2 You agree that You accept all responsibility in relation to any job vacancy You post on the Alumni Portal, including accepting full liability for Your actions and any claims, losses, liabilities, damages, costs, charges or expenses arising, directly or indirectly, from Your job posting.
14.1 If you wish to respond to a job vacancy placed on the Alumni Portal (either posted by a registered alumni or a third party), please ensure you respond to the alumni or third party (as appropriate) directly.
14.2 You agree that You accept all responsibility in relation to any application that You may make to any job vacancy, including accepting full liability for Your actions and any claims, losses, liabilities, damages, costs, charges or expenses arising, directly or indirectly, from Your application.
14.3 You agree that We do not act as an employment agency by providing these roles to You, as presented on the Alumni Portal, and that We have no responsibility in relation to any application You make.
15.1 The following provisions set out Our entire financial liability (including any liability for the acts or omissions of EY and Our suppliers, subsidiaries, affiliates, officers, agents, partners and employees) to You in respect of:
15.1.1 any breach of these Terms of Use;
15.1.2 Your use of the Website or Services or inability to use the Website or Services; and
15.1.3 any representation, misrepresentation (whether innocent or negligent), statement or tortious act or omission (including negligence) arising out of or in connection with these Terms of Use.
15.2 All warranties, conditions and other terms implied by statute or common law are excluded from these Terms of Use to the fullest extent permitted by law.
15.3 Nothing in these Terms of Use excludes or limits Our liability for:
15.3.1 death or personal injury caused by Our negligence; or
15.3.2 fraud or fraudulent misrepresentation.
15.4 Subject to Clauses 15.2 and 15.3:
15.4.1 We shall not be liable, whether in contract, misrepresentation (whether innocent or negligent), tort (including negligence) or otherwise, for:
15.4.2 Our total liability in contract, misrepresentation (whether innocent or negligent), tort (including negligence) or otherwise, arising in connection with the performance or contemplated performance of these Terms of Use shall be limited to any amount paid by You to Us in the previous twelve (12) month period.
Some jurisdictions do not allow the exclusion of certain warranties or the limitation or exclusion of liability for incidental or consequential damages. Accordingly, some of the above limitations of Clause 15 may not apply to You.
You agree to indemnify and hold Us, EY and Our suppliers, subsidiaries, affiliates, officers, agents, partners and employees, harmless from any claim or demand, including reasonable legal fees, made by any third party due to or arising out of any Content you submit, post or transmit through the Website or Services, Your use of the Website or Services, Your violation of these Terms of Use or Your violation of any rights of another.
18.1 You agree that We, in Our sole discretion, may terminate Your account and use of the Website and/or Services (or any part thereof), and remove and discard any Content within the Website or Services, for any reason, including for lack of use or if We believe that You have violated or acted inconsistently with the letter or spirit of these Terms of Use. Any suspected fraudulent, abusive or illegal activity that may be grounds for termination may be referred to appropriate law enforcement authorities.
18.2 You agree that any termination of Your access to the Website and/or Services under any provision of these Terms of Use may be effected without prior notice, and acknowledge and agree that We may immediately deactivate or delete Your account and all related information and files in Your account and/or bar any further access to such files or the Website and/or Services, subject to compliance with local laws.
18.3 You agree that We shall not be liable to You or any third-party for any termination of Your access to the Website and/or Services.
19.1 You acknowledge and agree that the Website and Services and any necessary software used in connection with the Website and Services ("Software") contain proprietary and confidential information that is protected by applicable intellectual property and other laws. You further acknowledge and agree that Content contained in any advertisements or information presented to You through the Website, Services or advertisers is protected by copyrights, trademarks, service marks, patents or other proprietary rights and laws.

If any provision of these Terms of Use is held to be illegal, invalid or unenforceable, such provision will be severed and the remainder of these Terms of Use shall continue in full force and effect.
If You breach these Terms of Use and We take no action against You, We will still be entitled to enforce Our rights against You in relation to that breach and to use Our rights and remedies in any other situation where You breach these Terms of Use.
Nothing in these Terms of Use is intended to confer any benefit on a third party, including, without limitation, within the meaning of the Contracts (Rights of Third Parties) Act 1999.
We shall process any personal data we may receive from You in the course of performing the Services, in accordance with the Privacy Policy. You hereby consent to the processing of Your personal data in accordance with the Privacy Policy .
25.1 These Terms of Use, the [Privacy Policy ] and the [Legal Statement ] (the "Agreement") sets out the entire agreement between You and Us and supersedes and discharges all liability arising from any previous agreements (whether oral or in writing), discussions, negotiations and understandings between us relating to those matters.
25.2 You agree that in entering into the Agreement, You have not relied on, and shall have no remedies in respect of any express or implied warranty or representation (including any negligent misrepresentation) made by Us that is not expressly set out in the Agreement.
25.3 Nothing in the Agreement is intended to exclude or limit Our liability for fraud or fraudulent misrepresentation.
